This Privacy Policy explains how we collect, use, store and protect personal information in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Data (Use and Access) Act 2025.

Tickton Village Hall is the data controller for personal information that it collects and uses.

  • payment or transaction information; and
  • correspondence with TVH.

Our website may also collect technical information such as IP address, browser information and cookie information.

How we use your information

We may use your personal information to:

  • manage Hall bookings and enquiries;
  • administer the Amelia booking system;
  • communicate with hirers and users;
  • process payments and maintain financial records;
  • manage Village Hall activities and events;
  • keep the Hall, its users and property safe;

We will only use personal information where we have a lawful basis for doing so.

Sharing information

We will not sell your personal information.

We may share information with organisations that provide services to TVH where this is necessary, for example:

  • website and IT providers;
  • booking-system providers;
  • payment providers;
  • professional advisers; or
  • public authorities where disclosure is required by law.

Where organisations process personal information on our behalf, we expect them to protect that information appropriately.

How long we keep information

TVH will not keep personal information for longer than is reasonably necessary.

Different types of information may need to be retained for different periods for booking, financial, insurance, safeguarding, legal or administrative purposes.

Your data-protection rights

Depending on the circumstances, you may have the right to:

  • ask what personal information TVH holds about you;
  • obtain a copy of your personal information;
  • ask us to correct inaccurate information;
  • ask us to erase information in certain circumstances;
  • restrict or object to particular uses of your information; and
  • withdraw consent where consent is being relied upon.

Subject Access Requests

You can ask TVH for a copy of personal information we hold about you.

Under the Data (Use and Access) Act 2025, organisations are required to carry out reasonable and proportionate searches when responding to requests for personal information.

For example, TVH may search relevant booking records, emails and administrative records where your information is reasonably likely to be held.

Data-protection complaints

If you have concerns about how Tickton Village Hall has collected, used, stored, shared or otherwise handled your personal information, please contact us at:

chair@ticktonvillagehall.co.uk

We will make it reasonably easy for you to raise a data-protection complaint.

In accordance with the Data (Use and Access) Act 2025, TVH will:

  • acknowledge your complaint within 30 days;
  • take appropriate steps to investigate the matter;
  • keep you informed where appropriate; and
  • provide you with the outcome without undue delay.

If you remain dissatisfied, you may complain to the Information Commissioner’s Office (ICO).

The ICO can be contacted through www.ico.org.uk.

Electronic communications and charitable activities

The Data (Use and Access) Act 2025 introduced a limited charitable-purpose “soft opt-in” for electronic communications.

This may allow TVH, where the legal conditions are met, to email or message people who have supported or expressed an interest in the Hall’s charitable purposes.

Where this is used:

  • people must have been given the opportunity to opt out when their details were first collected; and
  • every subsequent communication must provide an easy way to opt out.

TVH will not automatically treat ordinary Hall hirers as marketing subscribers simply because they have made a booking.

Cookies

Our website uses cookies and similar technologies.

Changes introduced by the Data (Use and Access) Act 2025 mean that some limited-purpose cookies, including certain statistical and website-functionality cookies, may be used without prior consent.

Other cookies may still require consent.

Please see our separate Cookies Policy for further information.

CCTV

Where CCTV operates at Tickton Village Hall, recordings are used for legitimate security, crime-prevention and safety purposes.

Access to CCTV recordings is restricted and recordings will only be retained for as long as reasonably necessary.

Requests or complaints concerning CCTV information should be made using the contact details above.

Security

We take reasonable steps to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

Access to personal information is restricted to trustees, staff, administrators and service providers who reasonably need access to it.

We may update this Privacy Policy when legislation, Village Hall systems or our working practices change.

The latest version will be published on the Tickton Village Hall website.
